We are seeking an organized, detail-oriented, and friendly Administrative Assistant to support the daily operations of our growing clinic.

Job Summary:
The Administrative Assistant plays a vital role in ensuring the smooth and efficient operation of the clinic. This individual will manage front office duties, maintain patient records, assist with scheduling, communicate with families, support staff and clinicians, and help uphold a welcoming environment for clients and team members.

Key Responsibilities:
• Greet clients and families warmly and assist with check-in/check-out procedures
• Manage phone calls, emails, and general inquiries
• Schedule and confirm appointments for therapy sessions and staff meetings
• Maintain and update client files and confidential documents in compliance with HIPAA
• Process intake paperwork and ensure all documentation is complete and up to date
• Coordinate with insurance companies and billing department as needed
• Support onboarding of new clients and staff (e.g., collecting forms, scheduling orientations)
• Track staff attendance and submit timesheets or scheduling reports as needed
• Order office and clinic supplies; manage inventory
• Assist with clinic cleanliness and organization
• Handle special projects or tasks assigned by the Clinic Director or supervisors

Qualifications:
• High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
• 1–2 years of administrative experience (healthcare, behavioral health, or ABA setting preferred)
• Proficient in Microsoft Office, Google Workspace, and basic scheduling software
• Familiarity with electronic health records (EHR) systems is a plus
• Excellent organizational, communication, and customer service skills
• Ability to multitask, work independently, and maintain confidentiality
• Compassionate, professional demeanor and ability to work with children and families

Preferred Qualifications:
• Experience with ABA therapy terminology and clinic operations
• Bilingual (Spanish, Mandarin, or other) is a plus
• CPR/First Aid certification (or willingness to obtain)
