The Job: Reporting to the Senior Manager, Communications Operations the Coordinator, Communications Operations will support the function of a successful communications team by managing the department's budget processes, including invoice processing, expense tracking, and maintaining organized financial records. They will assist with procurement and contracting for external vendors and consultants ensuring smooth execution while providing ongoing support for operational processes and project management. Additionally, they will act as a point of contact for administrative and technical inquiries while collaborating with key departments to improve cross-department systems and processes.

The positions will be based in the Center's New York City office in a hybrid model of 3 days in-office, 2 days working from home. This is a fixed-term, two year role.

Primary Responsibilities:

  • Support the department budget processes by processing invoices, tracking expenses, Concur Reports, reclasses, reconciliation, and keeping the department folders related to budget and finance organized and updated on SharePoint and Microsoft Teams.
  • Support the procurement and contracting process for the department's external vendors, licensing, and consultants from drafting through execution in coordination with the Senior Manager, Communications Operations who will review, offer guidance and support particularly on larger contracts as needed.
  • Support department operations processes by optimizing information flow across teams for shared projects, ensuring proper file organization, maintaining SharePoint, project management tracking tools, catalog and upload the Centers digital media in digital asset management system (i.e. Monday.com, Microsoft Teams, Canto, etc.).
  • Act as a point of contact for administrative and technical inquiries related to files, trainings, scheduling, and directing team members to the appropriate resources (i.e. SharePoint, Bitwarden, Monday.com, etc.).
  • Work with the Senior Manager, Communications Operations and key teams to plan and execute projects including tracking timelines, managing stakeholders, logistics, and ensuring successful completion of deliverables.
  • Collaborate effectively as a positive liaison across the organization, working closely with key departments (i.e. Finance, Accounting, IT, Programs, etc.) to enhance cross-departmental systems and processes.
  • Attend meetings and proactively share value-added notes with internal stakeholders.
  • Other duties as needed.

Compensation: The annual salary for this position is $68,000. This salary reflects a position based in New York City or Washington, D.C. This salary will be subject to a downward locality adjustment if authorization is granted to work outside the location listed in this posting. Note that most of the salaries listed on our job postings reflect New York, NY salaries, where our National offices are headquartered.

Union Status: This position will be part of the CRR Union, a shop within Local 2110 United Auto Workers—Technical, Office, and Professional Workers Union.

FLSA Exempt Status: This position is non-exempt.

Duration: This is a two-year, fixed term position.

Requirements:
