Events Coordinator

Contract to Hire

Palo Alto, CA – Hybrid

$30 - $35/hour

Option 1 Staffing is thrilled to be recruiting for an Events Coordinator on behalf of one of the Bay Area’s most prestigious and sought-after employers! This is your chance to take the lead on high-impact events from concept to completion. You'll coordinate every detail, bring creative visions to life, and ensure smooth execution—while also managing important behind-the-scenes logistics like processing reimbursements.

Responsibilities:

• Manage logistics for event coordination and educational activities
• Process financial reimbursements
• Serve as a member of the events team and contribute to an array of functional areas, including decision-making
• Respond to inquiries
• Schedule, organize, and operate conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors
• Draft and/or generate routine communications
• May serve as the point of contact
• May guide and train students and/or contingent workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness

Qualifications:

• Minimum 1-year experience with Event Planning/Coordinating
• Minimum 1 year of administrative experience
• MUST have experience with reimbursements
• Bachelor’s degree (preferred but not required)
• Comfortable using Office 365
• Problem-solving skills, taking the initiative, and decision-making skills
• A positive and can-do attitude
