We are looking for an organized, multitasking, high-energy ABA Medical Office Manager to join our team full-time. You must have a passion for helping kids learn and have fun!

As the Office Manager, you will be responsible for keeping everything running smoothly in the center. You are a core team member, utilizing your multitasking, organization, and communication skills daily. It will be critical for you to understand a sense of urgency and prioritize tasks quickly.

The office is quite busy; at any given time, you may be checking in anxious parents and their children, tending to phones and faxes, collecting necessary intake forms, and ensuring everything is done with a smile and accuracy. Your role is essential in creating a welcoming, calm, and professional environment for families and staff alike.

In addition to administrative duties, you will support day-to-day staff operations, including:

  • Helping coordinate staff schedules and shift coverage.
  • Monitoring staff attendance and time-off requests.
  • Serving as a point of contact for employee questions or concerns.
  • Supporting leadership in enforcing center policies and upholding standards.
  • Assisting in onboarding new staff and maintaining HR documentation
    We’re seeking someone who is proactive, solution-focused, and enjoys being the go-to person who keeps everyone organized and supported.

JOB DESCRIPTION:

  • Work at the front desk Monday - Friday 7:45 am-4:30 pm.
  • Receptionist duties (answer phones, send/receive faxes, respond to emails, client check-in/out).
  • Client Intake Procedures (give tours, review admissions forms, schedule assessments).
  • Insurance Correspondence (benefit verification, preauth requests).
  • Purchasing duties (Stock office supplies).
  • Scheduling (Create client/staff daily schedules, track cancellations).
  • Cleaning Duties (keep lobby and conference room clean and orderly).
  • Plan Monthly Client Field Trips (accept permissions slips, arrange transportation).
  • Staff Onboarding (prepare locker/uniforms, review employee handbook with them).
  • Event Planning for clients (make arrangements for Monthly Community Workshops, Quarterly Autism Community Social Events).
  • Event planning for staff (make arrangements for Quarterly staff in-service training and team building activities).


QUALIFICATIONS:

  • BLS / CPR certification.
  • No criminal background.
  • Excellent oral and written communication skills.
  • Ideally, bilingual (Required).
  • Customer service experience.
  • RBT (Preferred).

  • Demonstrate strong leadership and serve as a positive role model for all staff members.
  • Maintain the clinic’s reputation for being organized, efficient, and child-friendly.
  • Actively support and maintain a clean, safe, and welcoming environment for staff and clients.
  • Respond promptly and professionally to inquiries from caregivers, staff, and external partners.
  • Monitor staff attendance and punctuality; report trends and concerns to leadership.
  • Support day-to-day operations, including scheduling, documentation oversight, and task delegation.
  • Participate in and lead internal meetings as needed, helping to ensure alignment across departments.
  • Address minor conflicts or issues promptly and escalate concerns to HR when necessary.
  • Ensure timely communication between clinical and administrative teams.
  • Follow up on outstanding tasks, referrals, and authorizations to keep operations running smoothly.
  • Be proactive in identifying areas for improvement and suggesting solutions.
