About the Opportunity

As Spectrum continues to expand its workforce, the Human Resources team has dedicated internal resources to support the hiring and successful onboarding of employees across all functions. In this role, the ideal candidate will work in close partnership with hiring managers to determine current & future state staffing needs based on both the long- and short-term goals and initiatives of the department. In personally sourcing from platforms such as Indeed and LinkedIn, this individual will be primarily responsible for sourcing, screening, and passing candidates forward through the interview process.

To ensure Spectrum remains competitive in the market, the Staffing & Onboarding Specialist will be expected to periodically challenge and revamp hiring practices in accordance with the external market. This individual will also be responsible for identifying and escalating candidate/market feedback via a weekly sync call with management.

Upon the placement of candidates within their positions, this individual will play a critical role in ensuring that all facets of onboarding are covered within the first 90-days of employment and beyond. In working closely with hiring managers and building a close rapport with the team, the Staffing & Onboarding Specialist team will support Spectrum in building a sustainable bench (internal candidates) and pipeline in the anticipation of new positions, necessary backfills, etc.

Core Roles & Responsibilities

Recruiting

  • Understand potential staffing needs for projects and developments within the business.
  • Work closely with hiring managers on a regular basis to understand the specifications of each role (must-haves/non- negotiables, soft/hard requirements, etc.)
  • Advertise and maintain job postings across multiple channels (Indeed, LinkedIn, Spectrum site) ; ensure postings are up to date in accordance with job revisions and specifications
  • Drive a seamless recruiting process and improve recruiting targets as outlined (KPIs include Average Days to Fill, Source of Hire, Offer Acceptance Rate, Turnover Under 12 Months, etc.)
  • Serve as the first point-of-contact in the interview process; screen and vet candidates prior to moving forward
  • Debrief resume and interview highlights with department managers to ensure alignment between the Staffing & Onboarding team and leadership
  • Manage candidates’ information and communication through each stage of the interview and onboarding process (resumes/assessments/contact); ensure candidates are in regular communication with hiring team throughout the interview process.
  • Tracks and reports on the statuses of active requisitions via a weekly recruiting sync call with HR Management (Open Headcount Report)
  • Provide weekly updates to hiring managers on the statuses of open positions (candidate feedback, upcoming interviews, turndowns, market research/feedback, etc.)
  • Collaborate closely with functional leaders to create/redesign interview processes
  • Understand market competition and escalate feedback to ensure Spectrum remains competitive
  • Maintain job requisitions (QAFs);ensure completion & proper routing through management prior to job posting

Onboarding

  • Initiate pre-employment screenings (background check, drug screening, etc.)
  • Once cleared, coordinate New Hire Orientation activities for incoming employees in partnership with the HR team and hiring manager. These activities include:
  • Welcome Email (Welcome Letter and Preparing for Your First Day)
  • Welcome Box
  • IT Onboarding Ticket (within 48 hours of accepted offer)
  • Orientation schedule & first week agenda (including Mandatory training- GHS HazCom Safety, cGMP, GDP, ADP Overview and Intro to Lattice, etc.)
  • Facilitate on-site tours and arrange meet & greets with key stakeholders
  • Gather and process onboarding paperwork
  • Communicate company policies (new/existing) to incoming employees
  • Support with onboarding new hires into ADP, Ease & E-Verify on day one of hire
  • Setup end-of-week check-ins with new hires to ensure they are properly set up in ADP (payroll/time & attendance) and Ease (benefit enrollment)
  • Work closely with hiring managers to ensure that Onboarding Plans are completed and reviewed with HR in advance of candidates’ first day
  • Schedule 2nd week/30/60/90-day check-ins with new hires to review their onboarding plan and discuss wins/opportunities
  • Partner with hiring manager throughout the 30/60/90-day process to understand how new hires are acclimating to the team and report onboarding feedback to hiring managers
  • Gather onboarding feedback and data; meet biweekly with HR team to discuss themes/trends
  • Monthly review of new hires with HR and hiring managers, identify gaps, potential flight risks, etc.

Other/Admin. Responsibilities

  • On an as needed basis, support the HR team with a variety of tasks including but not limited to:
  • Maintain HR records in compliance with employment and labor laws;
  • Maintain training records and other personnel documents in compliance with company SOPs;
  • In the absence of the Office Manager during periods of PTO, support with mail intake and other admin duties as assigned.
  • Support the HR Compliance Manager with tasks as needed.
  • Conduct walking chat-sessions with employees in various areas; check in with personnel and escalate concerns when necessary.
  • Employee engagement events (event planning, set up, takedown, etc.)

Requirements

  • Experience working in a diverse, fast-paced work environment- Must be a people person!
  • Proven success with full lifecycle recruiting with a minimum of 2 years’ experience in recruiting
  • Excellent verbal and written communication skills to communicate with candidates, hiring managers and other stakeholders
  • Excellent organizational and attention to detail skills
  • Problem Solving skills- ability to analyze trends and provide solutions to recruiting challenges
  • Initiative-taking and accountable individual
  • Technical skills- Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Visio, etc.), ADP Workforce or other HRIS system

Preferred Qualifications

  • Bachelor’s degree preferred
  • Individuals that are adaptable to changing business priorities
  • Previous knowledge of general HR practices
  • Experience coordinating Employee Engagement Events

Work Schedule

Monday through Friday 8:30am- 5pm

Pay & Benefits

  • We offer a competitive salary of $60,000- $75,000/year, based on experience
