Come join us at ChristianaCare!Our Pulmonary Rehab team located in Wilmington Delaware, is looking for a part - time Administrative Assistant II to provide secretarial support of the Pulmonary Rehabilitation program and staff with a major emphasis on enrollment phone calls, patient registration, insurance verification, attaining authorizations and staff support.The ideal candidate will be well organized, detail oriented and multitask. Candidate to complete tasks and duties within a prescribed timeline. Proficient computer skills along with strong verbal and written communication abilities.Principal duties and responsibilities:Serves as the subject matter expert in the department as it pertains to insurance coverage, authorizations, referrals, scheduling and all other office duties.Demonstrates effective oral and written communication skills.Locate and retrieve medical records and laboratory data from PowerChart, DHIN, other physician offices, etc.Verifies patient's insurance benefits prior to program enrollment and prepares all necessary documentation and chart prep, including referrals and authorizations.Responsible for registration of outpatients.Responsible for scheduling through Rev Cycle and Outlook.Demonstrates effective creative thinking and interpersonal and problem-solving skills.Maintains charts and departmental files as per policy and procedures.Performs inquiry calls and patient scheduling in a timely manner.Answer telephones in a timely and courteous manner.In the event the referral does not meet medical necessity or is missing information, contact the physician office as soon as possible for correction.Assists with problem solving within the department as it relates to patient scheduling.Operates computer systems and other equipment in an accurate and safe manner.Assembles new patient charts to include medical record documents, electronic records and new patient welcome packets.Manages the inventory of office supplies and some clinical supplies and is responsible for proactively ordering these items as needed.Greets and directs patients upon entering Pulmonary Rehab.Prepares patient attendance report on a weekly basis.Coordinates mailing and emailing of physician and patient letters.Attends departmental staff meetings as required.Contact Emergency Medical Services during emergency situations in Pulmonary Rehab and makes copies of the appropriate paperwork to hand off to technicians when they arrive.Organizes, delegates and manages volunteer staff as necessary.Actively participates in functions intended to promote program activities and team building.Performs assigned work safely, adhering to established departmental safety rules and practices. Reports to appropriate personnel, in a timely fashion, any unsafe activities, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.Performs other related duties as needed.Office Hours: Day Shift Part time -Tuesday & Thursday 7:30am - 4:00pmQualifications:High school diploma or equivalent.Four years progressively responsible administrative support to an administrator or manager.Experience in Microsoft applications, Sorian, Rev Cycle and Power Chart preferred.Familiarity with insurance verifications desired.Knowledge, skill, and ability requirements:Knowledge of or ability to learn Soarian, PowerChart, Rev Cycle, Navinet, Availity and other insurance databases.Familiarity with insurance verifications desired.Knowledge of general office procedures, including typing, filing and telephone etiquette.Knowledge of medical terminology.Skill in verbal and written communication.Skill in interpersonal relations.Skill in organizing and planning.Ability to use judgment and intuition skills in order to assess a situation, consider alternatives, and choose the appropriate course of action.Ability to prioritize a variety of tasks and be flexible during the daily work routine.Ability to deal with physicians, their office staff, other health care professionals, patients, and families in a clear, pleasant, and tactful manner.Ability to work with minimal supervision.Ability to maintain confidential information and materials.Ability to adapt to a changing work environment.Ability to pay attention to detail, track multiple projects and create and maintain office systems.Ability to learn and use new software packages pertinent to department functions.Ability to coordinate all office procedures for multiple program sites.Ability to take direction.About ChristianaCareChristianaCare was recognized as one of "America's 100 Best Hospitals" by Healthgrades, selected as one of the Most Wired Hospitals in the US by the American Hospital Association, and ranked by US News & World Report as the #3 'Best Hospital' in the Philadelphia region out of more than 90 hospitals.
